TuTORing policies

When you sign up for a tutoring session with Chelsea, you agree to the following terms:

  1. Virtual Services. All services will be performed via phone or video conferencing software.

  2. Recording. You and/or your child can choose to record our tutoring session for future reference. This recording will only be accessed by you and Chelsea, the tutor. The purpose of recording is to give you and/or your child retroactive access to our conversations, and for Chelsea to review and improve upon the services provided. Recordings will be saved and available via a private Zoom link for 30 days after the tutoring session (or 30 days after the last day of your custom tutoring package).

  3. Payment. Payments will be collected in advance of services performed. A tutoring session will only be considered booked once it has been paid in full.

  4. Text Messaging. Should you agree to text message communication prior to or following your tutoring session, you release Chelsea from liability for SMS charges resulting from text messages. Chelsea will answer messages as soon as possible between 9am and 7pm Monday through Saturday. Messages received on Sundays will be answered by 10am on the following Monday.

  5. Email Communication. You will automatically receive confirmation emails from Chelsea’s online scheduling service upon signing up for a tutoring session. You will also have the option of joining Chelsea’s mailing list. Should you opt in initially, please be aware that you can later choose to opt out of email communication at any time.

  6. Cancellations. Clients can cancel or reschedule sessions as desired using the Acuity scheduling automated email system up to 24 hours prior to the scheduled start time. Within a 24-hour window of the scheduled session, you must contact the tutor directly by emailing chelsea@bigbadbrainery.com. Cancellations that occur within said 24-hour window will not result in a refund. You must reschedule the session (following the guidelines outlined below) or risk forfeiting payment.

    Please notify Chelsea of a cancellation at least 6 hours in advance. Should you notify Chelsea between 6 and 24 hours in advance, at least two makeup session options will be offered via email within 24 hours of your cancellation request. Said options will fall within two weeks of the originally scheduled session. Should you notify Chelsea less than 6 hours in advance, a makeup session is not guaranteed. One cancellation/makeup is permitted per session. If a makeup session is not accepted/completed, payment will be forfeited. Chelsea will make every attempt to offer makeup sessions around your schedule, but cannot guarantee that your preferred time will be available.

    No-shows are considered forfeited sessions. If tutor makes one unsuccessful attempt to contact client and waits five minutes beyond the scheduled start time, the session will be deemed a no-show and no refund will be issued.

  7. Refunds. Refunds will only be issued to those who cancel prior to 24 hours ahead of their session time, if the client does not desire to reschedule. Refunds are processed via the Stripe payment system and will be distributed to the client's bank within 5 to 10 business days of the refund request.
